My favorite trick to show just how awesome you are at your job/ to help seal the deal? Having things in your contract that makes the client say, “I would have never thought of that!” or “I didn’t even think about X!!” It shows you’re experienced, forward thinking, and a step ahead of them— all things wedding planners NEED to be!

With the cost of weddings and event, and after the crazy times we had during Covid, potential clients may have reservations about investing in your services. A comprehensive contract assures them that you are a reliable professional, capable of delivering the services they expect.

Ensuring Equitable Agreements:

To some degree, contracts must be fair and balanced to be legally valid. It's important to inform clients that a contract favors both parties, and is not meant to trick or deceive them. This transparency reassures clients and fosters trust from the outset. It also highlights your commitment to maintaining a fair and equitable professional relationship.

This is called “equitable” in legal-speak, but we can just call it “fair” and “not predatory” between us.

Clarifying the Agreement:

Contracts serve as written reflections of the agreement between you and your client. The “legal term” is a “meeting of the minds,” which basically says “we both agree on what we’re doing here!”

By clearly outlining the terms and conditions, a contract helps to prevent misunderstandings or miscommunications. Remember— they are probably reviewing a few different contracts, so it’s important to make sure they know what YOU provide!

This clarity is essential for a smooth client-planner relationship and avoids potential conflicts down the line, which is often 1 or 2 years AFTER the contract is signed.

When wedding planning, clients often have a sense of urgency and may be considering multiple wedding planners. Having a well-written contract ready to go before a client books your services eliminates any lag time between the initial inquiry and the actual booking— and shows that you are ON TOP OF THINGS.

By providing a ready-to-sign contract, you demonstrate your professionalism and readiness to commence work promptly. This can give you a competitive edge over other planners who may require additional time to prepare their agreements, who have haphazard contracts, or who haven’t addressed all the client’s concerns in their agreement.

Streamlining Payment Discussions:

Blame it on my southern roots, but there’s nothing I hate more than discussing money and payment.

A well-drafted contract eliminates the need for awkward conversations or reminders about payments (especially when paired with automated invoicing software like Dubsado or Honeybook). It clearly states the agreed-upon amounts, payment schedules, and refund policies. MOST importantly, it addresses your nonrefundable retainer fee and allows you to keep it in the event of a cancellation. This protects both parties and minimizes the risk of disputes regarding payments or cancellations down the line.

Simply put, contracts are an integral part of a wedding planner's toolkit. They provide a foundation of professionalism and clarity in the client-planner relationship, setting the stage for that trust you need from your clients to create an amazing event.
